Requests for Additional Documents

A request does not automatically mean refusal

Authorities may ask for additional documents when the existing file does not fully establish a requirement or when circumstances need clarification. The request should be read carefully and answered within the stated deadline.

Respond to the exact issue

Do not send a large volume of unrelated material. Identify what the authority is asking for and provide documents that directly address that point.

Preserve the reference information

Use the application or process number requested by the authority so that the new documents can be linked to the correct file.

AIMA missing-document procedure

For certain residence-authorisation processes already initiated with AIMA, AIMA announced in 2026 that missing documents can be submitted through its Contact Form rather than by visiting an AIMA shop simply to deliver the documents. The exact digital workflow can change, so applicants should follow the instructions in the notification they receive.

Respect file-format rules

Online systems may impose limits on file size, number of attachments and accepted formats. Scan documents clearly and name files in a way that makes them easy to identify.

Keep proof of submission

Save confirmation emails, upload receipts or screenshots showing that the requested material was sent. If a deadline is involved, evidence of timely submission can be important.
